JOB DESCRIPTION - OPERATIONS & PROCESS MANAGER – RICH GLOBAL

This is a full-time, in-office position at Rich Global in West Palm Beach, Florida. It is not a remote or hybrid opportunity.

Position Overview

Rich Global is seeking an exceptionally organized, high-energy, and execution-focused Operations & Process Manager to keep priorities, projects, processes, and people organized, accountable, and moving forward across Rich Global and its operating companies.

This is a hands-on execution and process-management role—not a senior executive position responsible for broadly “running operations.” The successful candidate will ensure that meetings result in clearly documented action items, assignments have accountable owners and deadlines, management systems remain current, and employees consistently follow through until work is completed.

This individual must be relentless about organization, accuracy, responsiveness, accountability, and completion. The Operations & Process Manager will maintain master to-do lists and project trackers, identify bottlenecks and overlook responsibilities, improve workflows and SOPs, and aggressively—but professionally—follow up with employees until assignments are completed.

Priorities will frequently shift based on business needs. The successful candidate must be comfortable moving between companies, departments, projects, and operational challenges while ensuring that nothing falls through the cracks.

Key Responsibilities

Meetings, Action Items, and Follow-Through

• Attend meetings, take clear and accurate notes, and document decisions, action items, responsible owners, and deadlines.
• Distribute meeting notes and action-item summaries promptly.
• Follow up consistently and persistently with employees, managers, consultants, and other responsible parties until assignments are completed.
• Confirm that assignments are actually completed rather than relying solely on verbal assurances or status updates.
• Escalate missed deadlines, unresolved assignments, and emerging risks when appropriate.
• Ensure decisions made during meetings are translated into trackable and completed actions.

Project Tracking and Accountability

• Maintain master to-do lists, project trackers, priority lists, workflows, calendars, and recurring-task schedules.
• Keep Monday.com boards, spreadsheets, dashboards, management reports, and other tracking systems continuously current.
• Establish clear owners, deadlines, deliverables, priorities, dependencies, and measurable results for assignments.
• Monitor outstanding initiatives and proactively communicate approaching or missed deadlines.
• Provide leadership with accurate, concise, and current information regarding priorities, progress, delays, and unresolved matters.
• Create visibility and accountability across multiple companies, departments, and projects.

Processes, SOPs, and Organizational Systems

• Develop, document, organize, implement, and continuously improve SOPs, company processes, checklists, controls, and recurring workflows.
• Organize company files, records, systems, templates, and shared information so materials are accurate, current, and easily accessible.
• Review how work moves between employees and departments and identify opportunities to improve efficiency and accountability.
• Improve internal Rich Global processes across accounting, legal, human resources, brokerage, operations, and other functions.
• Assist with implementing new procedures, training employees, and monitoring continued compliance.
• Audit adherence to established procedures and address inconsistencies or breakdowns.

Problem Identification and Special Projects

• Identify bottlenecks, loose ends, stalled projects, missed handoffs, unresolved responsibilities, and organizational gaps.
• Proactively address issues before they affect performance, deadlines, customers, or business results.
• Determine why work is delayed and coordinate the people, information, and resources necessary to move it forward.
• Take ownership of special projects requiring focused attention, coordination, organization, and implementation.
• Jump into unfamiliar assignments when necessary to bring structure to work and drive it through completion.
• Work directly within an operating company when needed to solve problems, implement processes, organize projects, or complete critical initiatives.
• Support the launch and development of new business operations through planning, coordination, documentation, tracking, and execution.

Qualifications

• Demonstrated success in operations coordination, project management, process improvement, business administration, implementation, or a related field.
• Exceptional organizational skills and meticulous attention to detail.
• Strong sense of urgency, responsiveness, persistence, and follow-through.
• Proven ability to maintain detailed action-item lists, project trackers, deadlines, and accountability systems.
• Experience developing or improving SOPs, processes, procedures, checklists, files, and recurring workflows.
• Proficiency with Monday.com or similar project- and workflow-management platforms.
• Advanced proficiency with spreadsheets, reporting tools, dashboards, business systems, and management information.
• Ability to manage numerous unrelated priorities without losing track of details or deadlines.
• Strong analytical, critical-thinking, and problem-solving capabilities.
• Ability to identify missing information, overlooked responsibilities, bottlenecks, and potential problems.
• Confidence in communicating with employees, managers, executives, consultants, and outside partners.
• Ability to establish professional accountability and persistently follow up until results are delivered.
• Excellent written and verbal communication skills.
• Sound judgment and the ability to recognize when an issue requires escalation.
• Ability to learn unfamiliar industries, processes, and systems quickly.
• Willingness to work directly on assignments and do whatever is reasonably necessary to bring them to completion.
• Demonstrated ability to assume full ownership of assignments and deliver results without constant direction.
• A practical, low-ego, hands-on approach and a strong commitment to making the entire organization more effective.

Compensation and Benefits

• Annual base salary starting at $70,000 , commensurate with experience and demonstrated capability.
